📄 App Alloggiati Web Report

How to use the Alloggiati Web Italy App

Introduction

The Alloggiati Web Report is a mandatory identity registration system required by the Italian State Police (Polizia di Stato). In Italy, campsites and other accommodation providers are legally required to transmit the details of all arriving guests — usually within 24 hours of arrival — for public security and anti-terrorism purposes. This is separate from, and in addition to, any other Italian reporting you may need to submit (for example, ISTAT tourism statistics).

The Alloggiati Web app automates this for you: it pulls guest data from your confirmed reservations, formats it the way Alloggiati Web expects, and can send it on your behalf.

Frequency: Every guest, continuously — not a periodic report like a monthly return. Deadline: within 24 hours of arrival. If the stay is shorter than 24 hours, it must be reported immediately.

This is a legal reporting obligation to the Italian State Police. Before relying on this app for your legal reporting, please confirm your establishment's exact obligations and deadline with your local Questura (police headquarters) or your accountant.

Getting this working has two parts, and both matter:

  1. Activate the report inside camping.care itself — a one-time setup step that creates the guest fields this report needs, and turns on camping.care's own data-quality check. This part of the setup is shared with camping.care's other Italian reports and isn't specific to any one app — see also "How to use the ISTAT Italy App".
  2. Set up and use the Alloggiati Web app — the app that actually reads those fields from your reservations and reports them to the Polizia di Stato, automatically or on demand.

You need both: the app can only send correct data if the fields from Part 1 are in place and being filled in.

Part 1 — Activate the report in camping.care

Report overview

Once activated, the system filters reservations arriving on the current date that have a valid status (Pending, Confirmed, Checked-in, etc.). It performs automated data checks to ensure that the primary guest and all co-travelers have complete identity profiles. If essential data such as birth details or nationality is missing, an error flag is generated under the reservation's contact overview, so staff can fix it before the official submission to the Italian police portal.

Report activation (Data validation)

To activate the report, go to Settings → Reports → Data validation. The default country of your administration determines which reports are available to you — for Italy, that includes the Alloggiati Web Italy report shown here, alongside ISTAT.

Click Activate to install the report's validation. A pop-up will show you every field this report needs. If any of those fields already exist under a different technical ID (same name, different field), you'll be asked to remove or rename that field first — see below.

Remove (or rename) a conflicting custom field

Go to Settings → Guests, Reservation, Administration → Fields and check whether you already have a custom field with the same name as any of the fields listed below. If so, remove it before activating — including from the archive, since an archived field can still cause a naming conflict.

Required database fields

Activating the Alloggiati Web report triggers the creation and monitoring of specific guest identity fields. These fields align with the exact data structure required by the Italian authorities.

Contact fields (guest data)

These must be complete for the main traveler and every co-traveler, unless noted otherwise:

Field label Technical ID Description
Type of client sl_tipo_di_viaggiatore Individual, Family, or Group (only for the main traveler). This isn't created by activation like the fields below — see "Creating the 'Tipo di Viaggiatore' field" underneath this table.
First / Last Name fld_contacts.first_name / .last_name Legal names of the guest.
Gender fld_contacts.gender Male (M) or Female (F).
Birthday fld_contacts.birthday Guest's date of birth.
Nationality fld_contacts.co_nationality The guest's legal citizenship.
Country of Residence fld_contacts.country Current country of residence (also needed for ISTAT).
Province of Residence fld_1f323d7460124103ba494a30df9ccf14 Crucial for Italian guests (also needed for the ISTAT report).
City of Residence fld_contacts.city Crucial for Italian guests (also needed for the ISTAT report).
Birth Country fld_contacts.co_birth_country Country where the guest was born.
Birth City & Code fld_contacts.tx_birth_city / .tx_birth_city_code City of birth (crucial for Italian citizens).
Birth Local Authority fld_contacts.tx_birth_local_authority / .tx_birth_local_authority_code Province of birth (crucial for Italian citizens).
Document Type & Number fld_contacts.document_type / .document_number Identity document details (e.g., Passport, ID Card).
ID Issue Location fld_contacts.tx_id_issue_location The municipality or authority that issued the ID. If the document was issued in Italy, this is the name of the Comune and the name of the Province; for a foreign-issued document, it's the name of the country.
Document Expiry Date fld_contacts.da_id_expiry_date Date of expiry for the document.

Reservation fields

Field label Technical ID Description
Arrival Date fld_reservations.from_date Date of arrival.
Departure Date fld_reservations.till_date Date of departure.
Number of Nights fld_reservations.interval Number of nights at the campsite/hotel.

Accommodation fields

Field label Technical ID Description
Type of the Unit fld_accommodations.name e.g. "Mobile Home SUN".

Creating the "Tipo di Viaggiatore" field

Important: unlike every other field in the table above, Type of client is not created automatically when you activate the report in Data Validation. You need to create it yourself as a custom field, exactly as described below — if you skip this step, the app has no way to tell group leaders and members apart from an ordinary family, which will show up as incorrect data in your Alloggiati Web submissions.

If you haven't created a custom field before, see How do custom fields work? for the general steps — the instructions below are specific to this field.

  1. Go to Settings → Guests, Reservation, Administration → Fields and create a new field of type Select, named exactly "Tipo di Viaggiatore".
  2. Add five options, using these exact internal values (lowercase, with underscores — this is how the app recognizes each one):
Name Internal value
Individuale individuale
Capo Famiglia capo_famiglia
Capo Gruppo capo_gruppo
Familiare familiare
Membro Gruppo membro_gruppo

Once created, this field appears on every guest's profile. If you leave it blank, the app makes its own best guess — a guest linked as a co-traveler is automatically treated as a family member. In practice, you'll mainly need to set this field by hand for two cases: marking the leader of a group (Capo Gruppo, to distinguish them from a family) and marking that group's other guests as Membro Gruppo — without it, a group of friends, for example, would otherwise be treated as a family.

If a field named "Tipo di Viaggiatore" already exists on your account, you don't need to create it again — just open it and confirm its name and its five option values are identical to what's listed above, since that's exactly what the app checks for.

Setup instructions (adding these to your booking/guest forms)

To ensure guests provide this required data prior to check-in, add these fields to your form settings:

  1. Go to Settings → Form Setup.
  2. Select the Online Booking or Guest Page tab.
  3. Add the following fields to the visible fields list:
Field Description Required
First / Last Name The guest's full legal name. Yes
Gender Male or Female. Yes
Birthday Date of birth. Yes
Nationality Citizenship of the guest. Yes
Country Current country of residence. Yes
Birth Country & City Specifically required for Italian police reporting. Yes
ID Issue Location Where the document was issued (required for the main traveler). Yes

Troubleshooting (report activation / field validation)

If validation finds missing data, errors are listed under the Reservation Contact Overview:

Error message Meaning Fix
Gender / Birthday is missing. Basic demographic data is missing from the profile. Update the guest's contact record.
First name / Last name is missing. The guest's legal name is incomplete. Fill in the missing name fields.
Country is missing. Country of residence has not been provided. Select the country from the dropdown.
Nationality is missing. The guest's citizenship has not been recorded. Set the nationality field in the contact profile.

Part 2 — Set up and use the Alloggiati Web app

Installing the app

  1. In your camping.care back office, go to App Store (Main → App Store / Integrations).
  2. Search for Alloggiati Web and open its listing.
  3. Click Install.
  4. Authorize the app to access your account when prompted — this completes the installation and is what actually connects the app to your administration (until this step is done, the app can't read your reservations or save settings, even if a preview of it is visible in the App Store).
  5. Once installed, open the app from your back office to reach its dashboard.

Settings

Open the Alloggiati Web app in your camping.care back office and go to its settings screen (the gear icon in the top-right corner of the dashboard). Enter the credentials you received from your local Questura when you registered for Alloggiati Web:

Field What it is
Username Your Alloggiati Web login.
Password Your Alloggiati Web password. Once saved, it shows as already set — leave it blank when editing your other settings to keep the existing password.
Web Token A separate access code from the Questura used for automatic sending — different from your everyday login password.
Property code Your establishment's registration code with Alloggiati Web.
Endpoint URL Pre-filled automatically with the correct address — you shouldn't need to change this.

Fill in all four credential fields (username, password, Web Token, and property code) if you want the app to send reports for you automatically. If you'd rather keep submitting yourself, you can leave these blank and just use the download option below.

Note:  Alloggiati Web's connection status doesn't do a live check against the Polizia di Stato — it only confirms that username and property code have been filled in, since Alloggiati Web has no public test environment to verify against.

General export information

For each guest, the app automatically prepares the information Alloggiati Web requires — name, gender, dates of birth and stay, nationality, and identity document details — pulled straight from your reservation data.

Before sending, the app checks every guest record for the selected period and flags anything missing or that it couldn't recognize (for example, an unclear document type or birth city). You'll need to fix any flagged guests before that period can be sent or downloaded in full.

Create Export

Select a period — day or month — and click Import data to pull in that period's reservations. From there you have two ways to submit:

1. Download .txt (manual submission)

Click Download .txt to generate the file for the selected period and save it to your computer, then upload it yourself at alloggiatiweb.poliziadistato.it. Guests with missing information are left out of the file (the app tells you how many), so review those separately.

2. Send (automatic submission)

If your credentials are filled in and every guest for the period is valid, click Send and the app submits directly to Alloggiati Web for you — no manual upload needed.

After you click Send, you'll see either:

  • Transmission completed — Alloggiati Web accepted the report.
  • Transmission failed — something was rejected, with the reason shown directly so you know what to fix.

Every attempt is saved in the Transmission history card at the bottom of the dashboard, so you can always check what was sent and when.

Because the deadline is 24 hours per guest rather than a monthly cutoff, we recommend switching to Day view and sending each day's arrivals promptly, rather than waiting and sending a whole month at once.

Dashboard overview

  • Period — switch between Day and Month view, then pick Today/Yesterday, the current or previous period, or a custom date.
  • Import data — pulls in confirmed reservations for the selected period. Safe to run again any time; it just refreshes the figures.
  • KPI cards — total records, valid records, records with issues, and average length of stay.
  • Guests table — every guest for the selected period, including the Type column reflecting the "Tipo di Viaggiatore" field from Part 1, with a Show all / Show errors only toggle to jump straight to what needs fixing.
  • Transmission history — every past submission, with its status, date and time, and (on request) the full response.

Troubleshooting (the app itself)

If a submission is rejected, the dashboard shows the reason, and the failed attempt stays visible in the transmission history. Before trying again, check:

  • Your username, password, and Web Token are correct and up to date.
  • No guest is still flagged in the table for that period — fix their details on the original reservation in camping.care, then click Import data again.
  • Your property code is entered exactly as given to you.

If that doesn't resolve it, please contact support with the exact error message shown in the app.

FAQ

Does the app send automatically every day on its own? Not yet — today you need to click Send yourself. Since guests must be reported within 24 hours of arrival, we recommend checking the app daily.

Do I have to use automatic sending? No. You can leave the credential fields blank and just use Download .txt to submit yourself.

What if I have no guests arriving on a given day? There's nothing to report — no submission is needed.

Does this also cover ISTAT or other tourism statistics? No — Alloggiati Web is a police registration, separate from statistical reporting like ISTAT. Check the ISTAT Italy app if that also applies to you. Activating them (Settings → Reports → Data validation) is possible independently of one another.

A guest shows as "not recognized" for a field — what do I do? Correct that guest's details on the original reservation in camping.care (spelling of the city, country, or document type), then click Import data again to refresh it.

Do I need to fill in "Tipo di Viaggiatore" for every guest? No. Left blank, the app assumes a guest linked as a co-traveler is a family member, which is correct in most cases. You only need to set it by hand to mark a group's leader (Capo Gruppo) and its other members (Membro Gruppo), so they aren't mistaken for a family.

I already activated the report a while ago — do I need to do it again? No. Report activation (Part 1) is a one-time setup per establishment. You'd only need to revisit Settings → Reports → Data validation if one of the fields listed there was removed or renamed on your account.
